Main duties and responsibilities


  • Drafting of procurement contracts and orders to suppliers and contractors;
  • Validation of passive invoices and administrative control of S.A.L. and work accounting;
  • Draft and implement reporting tools;
  • Sending the documentation and collecting signatures to the Control functions and the CEO;
  • Support in preparing reports for the Finance Office;
  • Coordination with the other resources of the Project department and with the other departments of the Company;
  • Development of a digitalisation project including the administrative aspect.

Requirements


  • Accounting diploma or similar;

Responsibility


  • Organize, supervise and provide guests of the resort and villas/farms with an excellent Room Service, according to the Company's directives and based on operational standards and within the required times;
  • Personally deal with requests from VIP guests, answering possible questions and providing them with the necessary assistance to guarantee attentive and quality service;
  • Select, train, evaluate and manage the operational staff of the Room Service department, always acting as a model of correctness, courtesy, professionalism and competence;
  • Supervise and maintain correct operations by implementing department procedures in a timely manner, ensuring the right number of daily allowances in stock, the proper functioning of the equipment used in the department and the correct application of HACCP and Safety directives;
  • Collaborate with the management of F&B and other catering outlets (e.g. Banqueting department) in the creation of special events (e.g. events relating to catering in villas and farmhouses or in suites), ensuring maximum collaboration, the best customer service guests and the correct coordination of the resources involved;
  • Conduct daily briefings and regular department meetings so that Room Service staff are always up to date and well informed on the events and services to be provided;
  • Carry out administrative tasks such as planning the department's working hours, monthly inventory and replenishment of the correct stocks, optimizing all department costs, at the same time looking for every opportunity to improve revenues;
  • Monitor the correct presence of the In Room Dining menu in the rooms, suites and villas/farms.

Requirements


  • Experience gained in luxury hospitality, in the Room Service department or in fine dining catering;
  • Fluent knowledge of the English language. A second foreign language, in addition to Italian, would be an advantage;

Role Description


  • The Chef de Partie takes an active part in the daily operations of the kitchen. He dedicates himself to the preparation and presentation of the dishes following the established recipes;
  • Is responsible for the assigned lot, for its cleanliness and the equipment in use; completes all tasks taking into account the established timescales;
  • Coordinates the Commis in its match ensuring that the preparations are carried out according to the directives;
  • Supports in the preparation of food inventories and in the management of orders by monitoring the goods upon receipt, in cooperation with the manager;
  • Knows and applies the correct HACCP regulations;

  • Assume complete responsibility for the pastry making in accordance with the orders given by the Chef or Sous Chef;

Role Description


  • The Chef de Rang takes care of providing table service, based on the operational standards present in the Restaurant;
  • Ensures that the guest receives adequate attention and information on the culinary philosophy and that overall he or she enjoys the restaurant experience;
  • Prepares the mise en place and sets up the work spaces before/after each service;
  • Takes orders and relates to the guest in a friendly and professional way, explaining and suggesting the dishes on the menu;
  • Enters orders on the PMS and ensures the correct timing of dishes during table service;
  • Serves the dishes and collaborates with the Commis de Rang and the rest of the brigade for communication between the kitchen and the dining room;
  • Ensures that the department's equipment is always in order and well cleaned;
  • Ensures compliance with health and safety regulations in the room.

Requirements


  • No less than 3 years of experience in 5 star hotels and/or fine dining restaurants. Experience gained abroad will represent an advantage for selection purposes;

Responsibility


  • Ensure smooth operation and efficiency of the Facility Department, leading the Maintenance Team in the day-to-day operations of the estate and its business units, including its resort premisses, while respecting service standards, equipment, and work schedules;
  • Plan, direct, control, coordinate and participate in all areas and activities of the Facility department, liaising with our internal Project Division and their consultants (i.e. interior designers, architects, quantity surveyors, mechanical/electrical/plumbing engineers, lighting consultants, audio visual consultants and procurement agents);
  • Develop and maintain effective administrative and communication systems and requirements, following up with stakeholder about specific refurbishments and maintenance projects and their goals;
  • Implement and where necessary upgrade systems as required by the company product standards;
  • Diagnose, maintain and repair equipment ensuring data record is kept for preventive maintenance of mechanical, electrical, fire & safety, civil, guest rooms, public area, kitchen, back of house and audio visuals;
  • Overview and coordinate daily checks to the technical implants of the estate and its business units, communicating with the resort management and its Housekeeping department to prioritize maintenance tasks in case of requests for guest rooms and hotel public areas;
  • Direct and oversee the functionality and safety of the facility, (i.e. buildings, mechanical plants, electrical systems, heating and cooling systems, life safety systems) in line with regulations;
  • Prepare Capital, Repairs and Maintenance budgets for the Facility Department and report to the CEO and General Manager as necessary;
  • Report and monitor key performance indicators for the Facility Department and undertake corrective actions to improve equipment inventory, quality audits, productivity, and other assigned goals;
  • Obtain maximum control of expenditure through effective use of manpower and physical assets while ensuring all expenses are in line with budget;
  • Run an effective practice and enforcement of local regulatory compliance ensuring all health & safety procedures of guests and team members, as well as the proper conditions for plants, machinery, and property are well respected;
  • Collaborate with the Health / Safety Manager to monitor safety and security practices, fire detection and alarm system and the effectiveness of the maintenance contract in place in compliance with standards and legal regulations;
  • Develop and manage the current energy plan throughout the property (i.e. Biomass, aqueduct, pools) and help identify and introduce further environmentally-friendly systems and equipment;
  • Ensure the best operation of all building engineering services in a reliable and energy efficient manner (i.e. boilers, chillers, air handling units, lighting circuits, water treatment plant, etc);
  • Supervise cost control programs through energy saving schedules and manage energy conservation programs to minimize expenses;
  • Manage its team’s related activities, including allocation of workloads, team working schedules, evaluations, maintaining good motivation as any required disciplinary matters.

Requirements


  • Bachelor’s degree in Electrical or Mechanical Engineering, project management or in an equivalent technical field;
  • A minimum of 5 years’ professional experience in a similar role and across all aspects of the Engineering & Maintenance departments within luxury hotels;
  • Basic competency in engineering management, project engineering encompassing mechanical, electrical and civil (structural) and other relevant scopes;
  • Fluency in Italian and English is a must;
  • Excellent use of Microsoft Office and relevant technical software;

  • Bachelor's degree in Fitness or Physical Education, Kinesiology, Sports Science or similar and/or relevant Certifications;
  • Well familiar with a wide variety of fitness programs, from simple exercises to more challenging training sessions;
  • Knowledge of Yoga, Pilates, breathing exercises, stretching session would be very appreciated;

The professional figure will report to the manager of the passive area and will carry out the following tasks within the office:


  • Updating supplier database according to company procedures;
  • Checking the correctness of tax documents with transport documents, contracts and purchase requests
  • Registration of passive invoices;
  • Preparation and sending of Intrastat form;
  • Conservation and archiving of all accounting documents relating to the supplier area (rda, ddt, contracts);
  • Control of employee expense reports;
  • Maintain relations with the Auditing Firm for the documentation within its competence;

Responsibility


  • Take charge of the IT projects defined by the manager;
  • Always keep the list of users who access computer systems in all the systems under scrutiny updated and consistent, carrying out monthly cross-checks of the employees in force with the list of active users in the various systems, enabling or disabling the various users accordingly ;
  • Carry out monthly checks defined and requested by management in order to guarantee safety and compliance levels, always in compliance with company policies;
  • Manage Service Desk activities and assistance with IT problems reported by users, both on site and remotely;
  • Keeping IT services functioning and, where necessary, restoring them or having them restored by the relevant company in compliance with the SLAs, acting as an interface with the parties involved;
  • Verify the proper functioning of the backups by carrying out the restore test every month;
  • Install and configure IT assets, working with the ICT team to manage standard changes and higher level requests;
  • Carry out audits of IT systems in compliance with company policies, supporting the manager in the audit processes;
  • Collaborate in drawing up the annual budget based on the IT requests received from the departments and hotels assisted, evaluating the need, feasibility, cost and opportunity.

Requirements


  • Degree in Computer Science or high school diploma with substantial experience in the IT field;
  • Knowledge of the architectural and infrastructural concepts of the Microsoft Windows environment, Active Directory and related services;
  • Good knowledge of the fundamentals of TCP/IP networks. Microsoft and VMware certifications are preferred;
  • Excellent knowledge of written and spoken English;

Responsibility


  • Participate in the planning, development and execution of activities relating to the annual calendar of events organized by the Company for its customers, both internal guests of the resort and the estate, and those who wish to visit Castelfalfi even for a few hours;
  • Collaborate with the marketing team and manage the relationship with suppliers and partners involved in the organization of events organized by Marketing;
  • Ensure that these events are carried out in compliance with the allocated budget, monitoring and optimizing costs, carrying out correct reporting, in compliance with company procedures;
  • Collaborate with the Marketing team on the development of specific communication plans, which integrate with the existing Marketing Plan, in order to effectively promote the events on the calendar, using both online and offline channels (e.g. media planning/social media, relations with communication agencies, territorial marketing, etc.);

Responsibility


Under the supervision of the Reservation Manager and in collaboration with department colleagues, the Reservation Agent will handle the management of telephone calls, correspondence and the necessary offers, relating to the request for a stay at the resort and its villas and farmhouses by guests individuals, agencies and commercial partners, guaranteeing an accurate, personalized and efficient service at all stages of the booking. In particular, it will deal with:


  • process individual bookings via email and telephone, both individual and from agencies;
  • verify and insert bookings from Web channels, GDS and OTA platforms into the PMS;
  • manage VIP guest reservations, special requests and anything else that can facilitate the future guest's stay to make him feel unique and special;
  • respect the Reservations LQA standards and the timescales inherent in sending correspondence by providing exhaustive information, always in a friendly and proactive tone;
  • transfer all the information received during the booking on the PMS and when necessary via email, including payment methods and deposits, transfer and service booking requests, useful to the operational departments;
  • stay well informed about the inventory of rooms and suites, their positioning and layout, as well as all the services offered by the resort and on the estate;
  • know and promptly monitor the status of sales, rates and special offers in line with the company revenue strategy;
  • Understand, explain and correctly apply the cancellation policy regarding no shows or cancellations; 
  • Act as an intermediary.
